The Components of a Complete Statement of Account
Account Header Information
The statement of account begins with comprehensive identification information:
- Your Business Name: Full legal name as it appears on invoices
- Your Address and Contact Information: Address, phone, email, website
- Customer's Full Legal Name and Billing Address: The name and address to which payments should be sent
- Account Number: Your internal account identifier for this customer
- Statement Number: Sequential statement number for your records
- Statement Period: Start date and end date of the account history covered
- Statement Date: The date the statement was issued
- Page Number: If the statement spans multiple pages
Opening Balance
The opening balance shows the balance at the beginning of the statement period. This should match the closing balance from the previous statement of account—if there is a discrepancy, this is the first thing to investigate during reconciliation.
Transaction Detail
The core of the statement of account is the transaction listing. For each transaction during the period, provide:
- Transaction Date: The date of the transaction (invoice date, payment date, credit date)
- Reference Number: Invoice number, payment reference, credit memo number

- Debit Amount: Charges, amounts owed

The aging summary breaks down the closing balance by age:

- 30 Days Past Due: 1–30 days overdue
- 60 Days Past Due: 31–60 days overdue

This section tells the client immediately whether they have a problem with overdue balances and how severe it is.
Payment Information
The payment section includes: accepted payment methods, remittance address for checks, bank wire details if applicable, online payment portal URL, payment terms, and late payment consequences per the credit agreement.
