The template covers scope definitions (room by room or surface by surface), paint specifications, prep work, labor, materials, and terms. It is designed to be detailed enough to prevent scope disputes but clean enough to present professionally to any client.
What Is a Painting Estimate?
A painting estimate is a document prepared by a painting contractor that communicates the expected cost of a painting project to a prospective client. It is not a quote — it is a cost projection based on the information gathered during a site consultation or walkthrough.
A good painting estimate does several things. It defines the scope of work precisely enough that both the contractor and client know exactly what will be painted and to what standard. It specifies the materials that will be used, including paint brand, line, finish, and color. It itemizes costs in a way that the client can understand and verify. And it sets clear payment terms that protect both parties.
Painting estimates differ from simple price quotes because painting involves subjective elements — the condition of the walls, the number of coats needed, the amount of prep work required — that affect cost. A professional estimate accounts for these variables explicitly rather than burying them in a single price.
Key Sections of a Painting Estimate
Contractor Information — Company name, contact details, state license number (where required), and proof of insurance. Many states require painting contractors to hold a specific license; including it in the estimate builds credibility.
Client and Property Information — Client name, property address, and the specific areas to be painted. If it is a commercial property, include the building name and suite number.
Scope of Work — A room-by-room or surface-by-surface breakdown:
- Which walls and ceilings will be painted
- Which rooms or areas are included or excluded
- Number of coats per surface (most jobs require at least two)
- Trim work (baseboards, door frames, window casings) — painted or stained
- Cabinetry (if applicable)
- Garage (if applicable)
Surface Preparation — Specify what prep work is included: patching holes, sanding rough spots, priming bare wood or repaired areas, caulking gaps. If significant repair work (drywall replacement, texturing) is needed, note it as an additional charge.
Paint Specifications — Specify the paint brand, product line, and finish for each surface:

Additional Charges — Anything not covered in the base scope: excessive prep, lead paint handling (where regulated), parking or permit fees, color changes beyond the first selection, furniture moving.
Payment Terms — Typically 25-50% deposit, balance upon completion. Specify accepted payment methods.
How to Calculate a Painting Estimate
Step 1: Measure the Space — Measure the height and width of each wall. Multiply to get square footage. Subtract the area of windows and doors (standard interior door = 20 sq ft; standard window = 15 sq ft). Add ceiling square footage if applicable.
Step 2: Determine Paint Quantity — Divide total square footage by the coverage rate of the selected paint (typically 350-400 sq ft per gallon per coat). Multiply by the number of coats. Add 10% for waste.
Step 3: Estimate Prep Time — Assess the condition of the walls. New drywall or bare wood requires more primer. Flaking paint requires scraping. Water stains require stain-blocking primer. Price prep accordingly.
Step 4: Price Materials — Get current paint pricing from your supplier. Factor in primer, caulk, tape, plastic, and disposal costs.
Step 5: Estimate Labor — Use historical production rates. Interior walls: 350-400 sq ft per gallon per coat (labor). Trim work: 15-25 linear feet per hour. Adjust for complexity (high ceilings, extensive trim, intricate details).
Step 6: Present with Options — Many clients appreciate having options: standard grade paint vs. premium, two coats vs. three, including trim vs. excluding it. Present the base estimate clearly, then note what additional options would cost.
