What Is a Flooring Estimate?
A flooring estimate is a document prepared by a flooring contractor that communicates the expected cost of flooring installation, repair, or replacement. It is based on an on-site measurement visit where the contractor assesses the existing floor, measures the space accurately, discusses flooring options with the client, and develops a complete scope of work.
The estimate must account for all costs associated with the project: not just the flooring material itself, but also removal and disposal of existing flooring, subfloor preparation, underlayment, trim and transitions, and labor. A professional estimate makes all of these costs visible to the client so there are no surprises on installation day.
Key Sections of a Flooring Estimate
Contractor Information — Company name, contact details, state contractor license (where required), and proof of insurance.
Client and Property Information — Client name, property address, room(s) to be floored, and the date of measurement.
Existing Floor Assessment — Description of the current flooring and subfloor condition. Note any moisture issues, uneven surfaces, or repairs needed.
Measurement Summary — Room-by-room square footage breakdown with total measured area, waste factor, and total material required.
Flooring Product Specifications — The specific flooring product selected:
- Brand, product line, and style name
- Material type (solid hardwood, engineered hardwood, laminate, LVP, ceramic, porcelain, carpet)
- Dimensions and thickness
- Color and finish
- Grade (for hardwood)
- Slip resistance rating (for tile)
Underlayment and Moisture Barrier — Specify the underlayment type (for laminate, vinyl, hardwood), any moisture barrier required (for concrete slabs), and acoustic underlayment (for multi-story buildings).
Subfloor Preparation — Costs for leveling, repair, moisture mitigation, or structural repairs. Include an allowance if full assessment is not possible until old flooring is removed.
Removal and Disposal — Cost to remove and dispose of existing flooring (carpet, tile, hardwood, etc.). Specify disposal fee.
Installation Labor — Labor cost broken down by room or by task (demo, preparation, installation, trim).
Trim and Transitions — Baseboards (repair or new), quarter round, reducer strips, T-molding, stair nose, and any other trim pieces.
Additional Services — Furniture moving, temporary housing arrangements (for large projects), or additional prep work.
Warranty — Manufacturer's warranty on flooring product; contractor's installation warranty.
Payment Terms — Deposit to order materials (typically 40-50%), balance upon completion.
How to Measure for a Flooring Estimate
Step 1: Sketch the Room — Draw a rough floor plan of the room with all walls labeled. Note doorways, closets, islands, and any other interruptions.
Step 2: Measure Length and Width — Measure each wall at the longest and widest points. For rectangular rooms, one length and one width measurement is sufficient. For irregular rooms, measure each section separately.
Step 3: Calculate Square Footage — Multiply length by width for each section. Add all sections together for total room square footage.
Step 4: Add Waste Factor — Multiply by the appropriate waste factor:
- Hardwood (straight plank): 7-10%
- Hardwood (herringbone or parquet): 15-20%
- Laminate or vinyl plank: 10-15%
- Ceramic or porcelain tile: 10-15% (more for complex patterns)
- Carpet: 10-15%
Step 5: Note Transitions — Measure linear feet of doorways and transitions between flooring types. These require transition strips and additional labor.
